Who this is about

This website and the software behind it are operated by Unique Hosting Private Limited, 1/163, Semalai Gounden Pudur, Ugayanur, P.K.Palayam, Tirupur, Tamil Nadu 641665, India, and are called "the Service" below. This policy explains what we hold about you and your players, why, and what you can ask us to do about it.

It applies to the the Service software. A tournament is run by its organiser, and anything they collect from you outside this site is theirs, not ours.

What we hold, and why

Your account: your email address, phone number, name and a scrambled form of your password. We need these to sign you in and to contact you about your entries.

Your players: full name, date of birth, gender, district and club. These decide which age groups a player may enter and how they appear in draws and results.

Entries and payments: which events a player entered, and any payment reference you record. The reference exists so the organiser can match your payment in their own bank app.

Consent: which parent or guardian entered a child, when, and which version of the consent wording they were shown.

Results: matches, scores, placings and ranking points. This is the record of the competition.

Technical: your IP address is used when you sign in and when a form is checked for abuse. We do not build a profile of your browsing.

Age verification, in detail

If you verify a player through DigiLocker, the government returns their name and date of birth to us. The player or their parent must accept that answer before anything is saved to the player.

We store the confirmed name and date of birth, and a one-way fingerprint of the identity used. The fingerprint exists so that one government identity can verify only one player, which stops one adult verifying every child on an account.

We never store the Aadhaar number. Not in full, and not the last four digits.

The government also returns an address block. We delete it as soon as the age is confirmed, because the confirmed date of birth is the only part the league needs.

If you upload a birth certificate instead, the file is deleted once an organiser has approved it. The proof is seen, not archived.

Children

Most players on this site are children, and their data is treated as the sensitive thing it is.

A child is added to a parent or guardian account, and only that adult can enter them. We record which adult gave consent, when, and the exact wording they agreed to.

A child has a public profile in the same way an adult does. It shows their name, club, district, gender, player number and results. It never shows a phone number, an email address or a date of birth.

The profile pages of players under eighteen ask search engines not to index them, so a child does not accumulate a permanent searchable record. This reduces how findable the page is. It does not make it private, and anybody with the link can still read it.

If you want a child removed from public pages, write to us and we will do it.

What is public

Tournaments, draws, schedules, live scores, results, rankings and player profiles are public pages. That is what the site is for, and it is how a draw or a ranking is any use.

The partner board shows the name and player number of players who have chosen to look for a doubles partner in a tournament they have already entered. It is off unless the player turns it on, for that entry only.

Nothing else is public. Email addresses, phone numbers, dates of birth, payment references and consent records are never shown on a public page.

Who else is involved

DigiLocker, operated by the Government of India, when you choose to verify an age. We receive the answer; they run the sign-in.

Cloudflare, which sits in front of the site and passes requests to it, and which therefore sees the traffic in transit.

Hetzner, who provide the servers the data is stored on.

Our own mail server, which sends the messages you receive from us.

We do not use any analytics or advertising service. There is no Google Analytics, no advertising pixel and no third-party tracker on this site.

We do not sell your data, and we do not share it with anyone for marketing.

Where your data is kept

The servers are in Falkenstein, Germany. Your data is therefore stored outside India.

Cloudflare handles requests from locations around the world, so a request may be routed through a country other than India or Germany on its way to us.

How long we keep it

The address block from a government verification is deleted as soon as the age is confirmed. An uploaded birth certificate is deleted once it is approved.

Accounts, players and results are kept while the account is in use, because rankings and tournament records depend on them.

If you close your account we remove personal details where we can. Results of matches already played remain, because they are also the record of the opponent who played them.

What you can ask us to do

You can ask what we hold about you or about a player on your account.

You can ask us to correct anything that is wrong. A date of birth confirmed against government identity is locked and can only be corrected by us, so write in and we will do it.

You can ask us to remove a player from public pages, or to close an account.

Write to [email protected] and say what you want. We aim to acknowledge within 48 hours and to complete the request within 30 days.

Keeping it safe

The site is served only over an encrypted connection. Passwords are stored scrambled and cannot be read back, by us or by anyone else.

Data belonging to one league is separated from every other league at the database level, and access is limited by role, so an organiser sees the players and entries of their own league only.

The government address block, for as long as it exists, is stored encrypted.

If something goes wrong

If personal data is exposed by a fault or an attack, we will tell the people affected and the authorities we are required to tell, and we will say what happened and what we are doing about it.

Changes and contact

We may update this policy. The version date is shown at the top of this page, and we will give notice of a change that materially affects you.

Questions and complaints go to our grievance officer, Suresh Kumar, at [email protected].
